TERMS AND CONDITIONS
Studio Usage Rules
It is assumed that Client has read prior to booking and agrees to the following:
“Management” is “Meraki Studios”. “Premises” is the loft space (approximately 1500 square feet). “Client” is the person or entity renting the Premises. “Agreement” is this Studio Rental Agreement.
PAYMENTS AND DEPOSITS
The rental fee must be paid in full to confirm and hold a reservation.
STUDIO CANCELLATIONS
Cancellations of confirmed bookings will result in the following charges:
Guests may reschedule their Booking until 7 days before the event start time.
Guests may cancel their Booking until 7 days before the event start time and will receive a full refund (including all Fees) of their Booking Price.
Booking cancellations submitted less than 7 days before the Event start time are not refundable.
If Management must cancel Client’s reservation, then Client will be given, in Management’s sole discretion, either rescheduling priority or a full refund. Management is not liable for acts out of its control that affect the shoot, such as building equipment failures, power outages, weather, acts of God, or emergencies.
IN-HOUSE PHOTOGRAPHER CANCELLATIONS
LATE ARRIVALS, CANCELLATIONS, & RESCHEDULING
To ensure a smooth experience for all our clients and maintain the quality of our services, we have established the following policies regarding late arrivals and cancellations:
Late Arrivals: We understand that unforeseen delays can happen. For this reason, we allow a 15-minute grace period for late arrivals. Please notify us if you are running late.
After the Grace Period: If you arrive more than 15 minutes late without prior notice, that time will be deducted from your session.
If the remaining time is insufficient to complete your session, it will be treated as a same-day cancellation (see below). It is the photographer's discretion to extend the session at the hourly rate or book a new session for a later date and time.
Extended Session Fees: If we are able to extend your session, an additional fee of $100 per hour will apply.
Cancellation Notice: Cancellations must be made at least 7 days prior to your scheduled session to avoid fees.
Same-Day Cancellations or No-Shows: If you cancel on the day of your session or fail to show up, the full session fee will not be refunded.
If Management must cancel Client’s reservation, then Client will be given, in Management’s sole discretion, either rescheduling priority or a full refund. Management is not liable for acts out of its control that affect the shoot, such as building equipment failures, power outages, weather, acts of God, or emergencies.
Rescheduling Policy: Rescheduling requests must also be made at least 7 days in advance. Your payment will be applied towards your future session.
One reschedule is permitted per session without additional fees. Subsequent rescheduling will incur a $50 administrative fee.
LENGTH OF USE
The start time and end time of the Rental Date is as set forth above. Client’s rental time begins promptly at the designated starting time and ends promptly at the designated ending time. Management will not extend Client’s booking if they are late. Client must leave BEFORE their booking end time to avoid overtime fees. Client’s booking includes time needed for setting up, breaking down, and cleaning up. The Premises must be cleaned and vacated by the end of the rental period. No prior drop-off and/or pick-up after completion of shoot, of equipment, props, etc., will be allowed unless agreed upon in advance by Management in writing. Additional fees at the hourly rate will apply and be automatically billed to the card on file if Client does not vacate (and remove any equipment, etc.) by the designated end time of the Rental Date. Early or extended hours must be worked out and paid for in advance before the rental period begins. Please be aware that we schedule a 30-minute buffer in between consecutive bookings to ensure we have enough time to clean our studio.
WIFI
Free Wifi is available. Access information posted in the studio.
PARKING
Parking is limited to 3 parking spaces. Additional parking is available after 5 pm and on the weekends.
CLEANING AND TRASH
Client agrees to leave the Premises and all contents and fixtures in the same condition as they were when Client arrived. Management will dispose of trash collected in the supplied trash cans. Client is responsible for removing and appropriately discarding larger items offsite. Disposal of large amounts of garbage due to large sets may also accrue additional costs at Management’s sole discretion. All items brought to the Premises by Client are to be removed by Client. Items left after 7 days will be assumed abandoned and may be discarded or kept by Management for Management use, with no compensation due Client, at the discretion of Management. If Client does not return the Premises to the order and cleanliness found when Client arrived, a minimum cleaning fee of $50 will automatically be billed to the card on file.
RULES OF PREMISES
No smoking whatsoever is allowed in the building or within 20 feet of any entrance. No alcoholic beverages or non-prescription or illegal drugs are allowed at any time. Music/voices are to be kept at reasonable levels and not contain vulgar or offensive lyrics or words. No animals are allowed at any time.
WAIVER OF LIABILITY
Use of the Premises is at Client’s risk. Client hereby agrees that Management will not be held liable for any direct, indirect, incidental, or consequential damage, injury, or loss to Client or its party, or to Client’s, or anyone in its party’s, possessions, while on the Premises. Client holds harmless and indemnifies Management and its owners, agents, representatives, associates, officers, employees, guests, and tenants against any suit, claim, loss, accident, judgment, fine, injury, or damages, including reasonable attorneys’ fees. This indemnification will continue in full force and effect during and after the term of the rental for such causes arising during the term of the rental. Management disclaims all implied warranties, including any warranty of merchantability or fitness for a particular purpose. The Premises are “as is.”
CONDUCT
The Premises is a shared studio and Management maintains a professional environment. No parties allowed. Music can only be played through a phone or laptop. DO NOT BRING large or small speakers to play music. Client is solely responsible for the conduct and welfare of all persons accompanying Client while on the Premises. Client agrees that a Management representative may, at Management’s sole discretion, be present at all times during the Rental Date. If the representative observes or otherwise becomes aware of dangerous, pornographic, illegal, or negligent practices or activities, or violation of any of the foregoing rules, then the representative reserves the right to stop the shoot and may require Client and Client’s party to leave immediately. The authorities will be alerted to any illegal activities witnessed by the Management representative. In such case no refund will be given for unused time and the Deposit will be forfeited in its entirety. However, Management and its representatives assume no responsibility to act in such cases.
DAMAGE
Treat our space and equipment with care. Client (on behalf of itself and its party) is solely responsible for any damage to Management’s property or equipment that occurs during the time Client or its party occupies the Premises. The cost of replacement/repair for damaged items will be automatically billed to the card on file. Damages include, but are not limited to, spills, excessive wear, marks, or stains on furniture, fixtures, or painted surfaces.
FURNITURE
You may move around “prop” furniture (chairs, small tables, and accessories). You may not move permanent furniture (couches, desks, large tables) around for any reason. Return all items to their original location before your booking ends. Any furniture depicted in our listing photos is not guaranteed to be present for your booking. Please reach out to us beforehand if you need specific items.
SECURITY
A camera is located inside, facing the front door for security purposes only. Please make sure to close/lock the front door behind you, turn off all lights when you leave, and do not let anyone inside who is not with your party.
NO WEAPONS
Guests may not bring weapons, including firearms, explosives, and knives, even if they have a license to carry one. Any guest in violation of this policy will be asked to leave immediately and payment forfeited.
FOOD
Keep foods and liquids off of floors and away from our furniture. If food is needed for your production, prior authorization from Management is required.
ELECTRICITY
Management must give special permission for any electrical usage other than ordinary and special lighting, powering personal computers, and small appliances.
AGE OF MODELS
Client is solely responsible for verifying that all subjects are of legal age or accompanied by a parent or legal guardian. Management has no responsibility to determine or verify the age of participants in Client’s activities but reserves the right to demand proof of parental consent and to end Client’s activities on the Premises if Management becomes aware that legal age violations are or may be occurring. Management is not liable in the case of an invalid ID or any other form of age verification.
INSURANCE
Businesses, corporations, production companies, and other legal entities may be required, prior to rental, to present a certificate of general liability insurance naming Management as an additional insured on the dates of the rental. If so required, then Client’s liability insurance will be deemed primary and noncontributory insurance in the event of any claim or suit. Liability insurance will be Commercial General Liability with a minimum of $1,000,000 per occurrence & annual aggregate.
